Accounts Assistant

LOCATION: Ely, Cambridgeshire

POSITION TYPE: Full-time, permanent

HOURS OF WORK: 0900-1700 Monday to Friday


Accounts Assistant

We are seeking an Accounts Assistant to join our team based in Ely, Cambridgeshire, to maintain purchase ledger, process invoices, reconcile statements, and follow up on invoice queries.

Main duties and Responsibilities

  • Running Purchase ledger
    • Agreeing invoices to PO’s.
    • Managing finance e-mail accounts
    • Processing standalone invoices.
    • Vendor liaison
    • Running PL metrics, issues log, invoice tracker.
    • Reconciling all vendors and Employees expenses
    • Scanning & logging all invoices.
    • Liaising with Project Manager/Engineers regarding unauthorised invoices and invoice queries.
    • Post Supplier payments into sage
    • Update rolling cash flows
    • Input adhoc supplier payments to the bank ready for authorisation ( bank access to be granted )
    • Upload Bacs payments to bank ready for authorisation 
    • Produce monthly/fortnightly payment runs ready for review
    • Supplier statement reconciliations
    • Monthly aged creditor review with Management Accountant
    • Proforma payments and chase VAT invoices with suppliers
  • Processing payment runs

Secondary Tasks

  • Analysing and processing expenses and company credit card transaction journals.
  • Weekly Entry of timesheet data onto bespoke system.
  • Update cost control spreadsheets.
  • Any other finance duties as required from time to time.
    • Sales ledger, including production of sales invoices, some credit control.
    • Development tasks.

Electrical Engineer

We are seeking an Electrical Engineer for the design and selection of electrical equipment within the Oil & Gas industry to join our team based in Ely, Cambridgeshire.

Main duties and Responsibilities

Conceptual electrical scope review at the proposals stage to determine the requirements for all electrical design.

Review and interpretation of customer specifications and national & international codes and ensuring that best industry practice and Health, Safety & Environmental considerations are applied and adhered to.

Detailed electrical design work throughout the life of each project in support of the Project Manager, providing solutions to issues that may arise.

  • Working collaboratively within the discipline group.
  • Preparation & checking of documents produced “in-house” relating to electrical design and equipment.
  • Use AutoCAD to create electrical drawings.
  • Preparation & checking of hazardous area drawings & calculations.
  • Checking of documents produced by suppliers relating to electrical equipment.
  • Providing engineering support and resolution of technical issues relating to electrical equipment.
  • Custodian for document templates relating to electrical equipment.
  • Review & interpretation of specifications, standards & regulations relating to electrical equipment.
  • Selection of goods & services relating to electrical equipment.
  • Assisting Purchasing with obtaining quotations from suppliers & sub-contractors, reviewing quotations.
  • Reviewing plant layout with respect to electrical equipment.
  • Understanding of hazardous areas and the design of equipment for use in hazardous areas.

Attendance at key meetings such as clarifications, handovers, design reviews and close out, both in-house and with the Customer as required,  such as:

  • Participation in Contract Review / Kick-off Meetings.
  • Participation in Design Review Meetings.
  • Participation in P&ID & GA Review Meetings.
  • Participation in HAZOP / HAZID / SIL Meetings.
  • Participation in Workshop Handover & Sub-Contract Pre-Inspection Meetings.
  • Participation in Close-Out Meetings.

Participation and attendance during inspection & testing relating to electrical equipment.

Project Engineer

We are seeking an experienced Project or Package Engineer, preferably with a history of working on multiple, multi-million pound bespoke engineering packages for the oil and gas industry.

The Engineer will be responsible for the engineering requirements to enable the successful completion of the project.  He/she will provide control of and report on, the engineering deliverables on the project and will ensure that the technical content of documentation meets the requirements to allow engineering and manufacturing to be completed to satisfy the client’s expectations.

Main duties include:

Manage the engineering of the project/package

Ensure all phases of engineering are carried out to meet the project schedule and budget

Lead Design Review, Constructability & HAZOP, P&ID, GA, Process, Mechanical, E&I, Controls meetings etc.

Manage implications of technical changes and ensure overall design integrity

Provide technical support to the Proposals team

Provide support to testing and manufacturing inspections

Report on key engineering deliverables (forecast man-hours, work pack completion dates, major bought-outs etc.)

Ensure that the design meets all customer specifications, industry standards and codes

Ensure that technical aspects of documentation meet the project requirements

Achieve milestone dates

Invoice approval.

The role is office-based and involves a mixture of project administration, engineering, organisation and management. Additionally, there may be some travel to our workshop in South Wales and to client sites from time to time.

Candidate Requirements:

Candidates applying will be expected to have suitable relevant qualifications, such as Mechanical Engineering degree and demonstrable experience in a project engineering role for similar engineering packages.  Strong communication, negotiation, technical and organisational skills will be essential to the Project Engineer’s success.

Our equipment generally consists of large pressure vessels, pipework, structural steel, valves, and specialised hazardous area rated equipment such as pressure, temperature, level and flow instruments, connected to a control system.

We are recruiting for a Purchasing & Logistics Coordinator to provide support and assistance to the Buyer and projects assistant in administering purchasing procedures together with import/export activities.

Main duties & responsibilities

  • Provide administrative assistance
  • Expediting of Sage 200 purchase orders
  • Expedite suppliers for order acknowledgements, goods, GA drawings & required documents (1st issue only)
  • Responsible for ensuring expediting records are maintained and kept up to date.
  • Generating Sage purchase orders
  • Generate ERP purchase orders
  • Generate online purchase orders
  • Maintaining Expediting spreadsheets
  • Liaising with project managers / engineers on delays to deliveries or documents
  • Assist the buyer with administrative tasks relating to purchasing, including setting up document systems, maintain records & spreadsheets, collating information  for reports etc.
  • Cover for projects assistant during absence
  • Responsible for collection and deliveries of purchased items both in the UK and abroad.
  • Co-ordination of temporary and permanent export/import for items being shipped worldwide
  • Providing advice and assistance in relation to Customs compliance issues to OGH staff
  • Co-ordination of record-keeping of company import and export transactions and EU movements of all goods
  • Raise the export documents for OGM
